What the portal does
Everything the tracker spreadsheet held, made live, multi-user and impossible to quietly overwrite.
One row per person, edited in place by the people who own the data: identity, role, expat or national, location, back-to-back rotation partner, current status, transition date from the outgoing contractor, visa expiry and onboarding progress. Filter it, sort it, and trust it, because there is only one of it.
Visas and all seven offshore certificates (BOSIET, HUET, H2S escape, offshore medical and the rest) are tracked per person with their expiry dates. The dashboard groups what expires next, before it grounds someone or stalls a crew change, so renewals are booked on your schedule, not the deadline's.
Every person against every certificate in one grid: valid, expiring or missing, colour-coded. The question "are we compliant to crew up next month?" becomes a glance, not an afternoon of cross-checking.
Each person has a full page: status and key dates, compliance and onboarding, all their certificates with expiries. Everything you need before a call about them, on one screen.
Every new starter carries a checklist of onboarding steps, tracked to completion. Nobody arrives at the heliport with a step quietly missed.
Open positions sit beside the people who could fill them, and contract key dates live on the same screen. Recruitment and rotation planning start from the portal, not from four attachments in an email thread.
Actions are raised, owned and closed inside the portal, against people or against the contract. The Monday meeting reads the list down; nothing lives in someone's notebook.
Every edit is written to the activity log: who changed what, and when. A status quietly flipped in a spreadsheet is a mystery; here it is a row on the record.
People are mapped to the charge codes their time bills against, kept current in the portal, so the commercial picture stays attached to the personnel picture.
The client gets a dedicated, read-only view scoped to exactly what the contract requires them to see. No forwarded spreadsheets, no over-sharing, and you decide what is in scope.
Contracts, visas and certificates are filed in Boko, the company's controlled document wiki, with its own permissions and audit trail. The portal tracks the dates and statuses; Boko holds the evidence. Same discipline, two systems that each do one job properly. A built-in guide inside the portal explains every screen, so new users need no training session.

Phase 1 replaces the tracker. The phases after it move the money.
